The role of Office and Customer Service Coordinator (part-time, 9 am to 2.30 pm) would suit someone who is highly organised and capable of multi-tasking in a busy environment. Working in a small independent publishing house, the successful applicant will coordinate the management of the office, facilities and IT and provide central administrative support to a busy team of editors and to sales and marketing. In addition, the role will act as reception for all visitors, including authors and suppliers, as well as customers who wish to purchase books directly from the Press. The role would suit someone who is great with people and happy to recommend books, preferably with a strong interest in books and publishing.

DUTIES
Duties will include, but are not limited to:
- Delivering exceptional administration support, including scheduling meetings, trouble-shooting IT and systems problems, and being a first point of contact for any staff or office enquiries.
- Providing excellent customer service to all stakeholders and building on existing relationships to develop new business
- Monitoring and organising renewals for key services such as printers, insurance etc as well as key subscriptions, including software. Sourcing quotes for any office maintenance or improvements required, and scheduling and overseeing any work
- Maintaining office equipment and supplies (Xerox ink and paper, labels), kitchen supplies, stationery supplies, including postal (stamps etc)
- Contract administration and authors, maintaining the key contact database, tracking and filing all contracts, PLR and ELR registration, and any other registrations or declarations required
- HR coordination including arranging inductions and on-boarding for new staff, tracking annual leave and other entitlements for 12 staff members and liaising with payroll, personal development and training coordinator for the office and coordinator or office wellbeing and social events

ESSENTIAL
We are looking for a hardworking and motivated team player who is calm under pressure and has a good sense of humour. Speed and accuracy are essential to the role as is a responsive and proactive attitude to working with creative people.
The successful applicant will have:
Strong organisation skills – thorough, systems-orientated with a desire to improve business processes and coordinate office engagement
Ability to communicate at all levels and to support office-wide staff initiatives and processes
Experience of managing third-party office suppliers and other contractors
Financial literacy and record-keeping skills
Excellent levels of computer literacy and ability to troubleshoot IT problems
Proficiency in Microsoft 365 Office including Outlook, Word and Excel and Sharepoint
HIGHLY REGARDED
- Experience in publishing, bookselling or the library sector
